Who we are and what this covers
Vulcan Vector is based in Toronto, Ontario, Canada. This notice explains how we handle personal information connected with our website, business enquiries and recruitment. “We”, “us” and “our” mean Vulcan Vector.
Personal information processed while delivering a customer’s managed infrastructure service may also be covered by a service agreement or data-processing terms. Those arrangements do not remove any rights you have under applicable law.
Information we collect
We limit collection to information reasonably needed for the purpose:
- Business enquiries: your name, work email, organisation, cluster size, project description and correspondence you choose to send.
- Job applications: your name, email, profile or résumé link, relevant experience, project descriptions and recruitment correspondence.
- Technical information: website request and security records may include an IP address, request time, requested page and response information needed to deliver and protect the site.
Please do not submit passwords, access keys, government identifiers, confidential research data or other sensitive information through these forms. Provide information about someone else only if you are authorised to do so.
How we use information
We use enquiry information to respond, understand your requirements, discuss services and maintain relevant business correspondence. We use application information to assess your suitability for a role and communicate about recruitment.
Technical information supports website delivery, troubleshooting and security. We do not sell personal information or use website submissions for unrelated advertising. If we propose a materially different purpose, we will explain it and obtain consent where required.
Consent and communications
We explain the purpose of a form when you use it. You can choose what to provide, although we may be unable to respond or assess an application without necessary contact or background information.
Contacting us or applying for a role does not automatically subscribe you to marketing. We will send promotional messages only where we have the consent or other legal basis required by Canada’s anti-spam legislation, with identification and an unsubscribe method where required. You may withdraw consent to optional communications by contacting us or using the unsubscribe method in a message.
Where information is processed
Our form handler forwards the information you submit to our business mailbox through Zoho Mail. Cloudflare processes the website request and form submission; Turnstile uses browser and network signals to assess automated activity. The form handler sends plain-text mail to fixed company recipients and does not intentionally include message contents in application logs. Cloudflare rate limiting also evaluates request metadata to reduce submission abuse. See Cloudflare’s Turnstile privacy information and Zoho’s privacy information for their practices.
We are located in Canada, but providers may process information in Canada or other countries. Information processed elsewhere can be subject to that country’s laws and lawful access by authorities. Contact us to ask about the providers and processing locations relevant to your information.
Retention and protection
We retain information only as long as reasonably necessary for the identified purpose, associated business or recruitment records, and applicable legal requirements. Information used to make a decision is retained long enough to allow appropriate access to that information. When it is no longer needed, we delete, securely dispose of or anonymise it.
We use reasonable administrative and technical safeguards appropriate to the information’s sensitivity, including limiting access to people who need it. No transmission or storage method is completely secure. We address security incidents and provide notifications when required by applicable law.
Your requests and choices
You may ask whether we hold personal information about you, request access or correction, or withdraw consent, subject to legal and contractual restrictions. You may also ask us to delete information that is no longer needed; deletion is subject to applicable retention obligations and legal exceptions.
Contact our privacy contact below. We may request enough information to verify your identity and locate the relevant records. Where PIPEDA applies, we generally respond to access requests within 30 days, with extensions and notices only as permitted by law. If we cannot fulfil a request, we will explain the reason as required.
Customer infrastructure data
This website does not accept training datasets, model weights or access credentials. During a managed-service engagement, we may handle operational information and personal information on a customer’s instructions. The written service agreement defines the systems covered, permitted access, processing responsibilities, confidentiality, retention and return or deletion arrangements. Customers remain responsible for the information and workloads they place on their infrastructure.
We do not use website enquiries or job applications to train our own AI models. Ask us about the data-handling requirements for a proposed engagement before transferring customer or research data.
Children’s information
Our website and services are intended for business and professional use and are not directed to children. If you believe a child has provided personal information through this website, contact us so we can investigate and handle the information appropriately under applicable law.
Policy updates
We may update this policy as our services or practices change. The date above identifies the latest revision. We will provide additional notice or request consent for material changes where required. Our Trust Center explains the website’s security controls and current service providers.
